PRIVACY STATEMENT FOR PROSPECTIVE STUDENTS

1.   General - AP as data controller
The purpose of this statement is to inform you about the way in which your personal data is collected and processed by AP Hogeschool Antwerpen, a public legal entity under Belgian law, with its registered office at Lange Nieuwstraat 101, 2000 Antwerp, and with company number 0535.880.359.

In connection with your registration, we are responsible for processing your personal data. We act as the data controller and ensure that you are kept informed:

Our processing of your personal data, and 
     •   You can exercise your rights with regard to your personal data.

2.   What information do we collect about you?
'Personal data' means any information that refers to a natural person.

3.   What do we need your personal data for?
For enrolment and administration of prospective students: 
     •  
Data necessary for communication by post, e-mail and telephone in connection with the completion of enrolment. 
     •   Data and information relating to admission tests. (if applicable)

4.   What personal data are processed?

•   Identification information: name, address, phone number, ID card number, passport number, INSZ or state registry number, personal e-mail address..

•   Personal characteristics: age, gender, date, country and place of birth, marital status, nationality,

•   (pre-)education and training: schools attended, nature of training, diplomas obtained, examination results,

•   Financial data: bank account number, scholarship status for the purpose of correct determination of tuition

•   Images: student ID photo

•   Occupation and job if you are a working student.

The personal data we receive may be processed for statistical purposes to analyze our policies and teaching.

5.   Legal bases for processing
The use of personal data is necessary to enter into an affiliation agreement with a prospective student.

The use of personal data is based on your explicit and free consent. We are also required by law to process certain data.

6.   With what other individuals do we share your personal data?
Your personal data will only be disclosed to:
     •  
Staff members who effectively need access to perform their duties;
     •  
Specialised external suppliers such as ICT services. These services must also take appropriate measures to protect your personal data;
     •   Police and investigation courts upon their express request AND only if we are legally required to do so.

7.   Where will the data be stored and processed
Your data is stored exclusively within the EU. We ensure that minimum legal requirements and security standards are respected at all times.

8.   How long do we keep your personal data?
We will only retain your data for as long as is necessary for the purposes for which it is used, as set out in section 3 of this policy. The retention period may vary depending on the type of data and may be subject to legal retention requirements.

Once your information is no longer needed for the purpose for which it was collected, we will permanently delete it.

9.   How do we secure your personal data
Your personal data is considered strictly confidential. We take all technical and organisational measures to protect your personal data.

10.   What are your rights and how can you exercise them

•   Right to access your personal data. In this regard, we will provide you with one free copy of your personal data if requested;

•   Right to correct your personal data;

•   Right to withdraw your consent;

•   Right to object to certain processing;

•   Right to delete your personal data with the exception of legal obligations to retain on our side;

•   Right to transfer personal data to yourself in common digital form or to another data processor to the extent technically feasible for us.

You will receive a response within the statutory 30-day period.

If you are not satisfied with our response, if you have any comments regarding the exercise of your rights or if you believe that our processing of your personal data is not in accordance with the law, you have the right to lodge a complaint with the Data Protection Authority.
